Start with one brief
Define the product and order requirements before comparing possible suppliers.
Keep unknowns visible

International sourcing starts with a buying decision, not a supplier directory. A useful brief explains what you plan to sell, who it is for and what you need to receive. This guide is a practical starting point for comparing offers across product categories; product-specific requirements still need separate checks.
Your product sourcing roadmap
- 01
Define
Write the product, quantity, intended use and destination.
- 02
Compare
Ask each supplier to quote the same specification and scope.
- 03
Confirm
Record the agreed quality standard, packaging and order terms.
- 04
Follow through
Track preparation, dispatch and receipt against the order.
Resolve an unclear answer before moving to the next stage.
A supplier conversation in four questions
Who is supplying the order?
Ask for the company identity, contact person and the role they perform: manufacturing, trading or sourcing coordination.
What will I actually receive?
Request current product information. Discuss samples where appropriate and confirm whether photos show exact items or a representative assortment.
How will quality be checked?
Agree what will be inspected, when records will be shared and how a difference from the order will be handled.
What does the quotation include?
Clarify packaging, shipping scope, timing and payment arrangements in writing.
Compare the order, not just the unit price
- 01
An incomplete offer
A low unit price with no clear quantity, specification, freight scope or handling plan leaves important decisions open.
- 02
A usable offer
The same product brief, quantity, currency, packaging, shipping scope and quality expectations make offers easier to compare.
Treat photographs and promises as starting information. Ask for evidence that matches your specific order.
Buyer questions
Can a small business source internationally?
Start by confirming the actual minimum order and whether it fits your purchasing plan. A supplier’s minimum is not a recommendation for how much you should buy.
Can I use the same checklist for different products?
The buying process can be similar, but specifications, packaging and transport suitability vary. Confirm the details for each product rather than copying a previous order.
